1. Scope & Applicability

This Privacy and Telematics Data Governance Policy governs the data collection, handling, and security protocols enforced by LOAD BEARER Transportation & Logistics ("LOAD BEARER", "we", "our", or "us"), headquartered at Viswakarma Colony, Suraram Village, Hyderabad, Telangana 500043, India.

This policy applies to industrial consignors, procurement directors, consignees, freight forwarders, vehicle operators, and digital users interacting with our logistics portals, instant freight calculator, live telematics radar, and customer dispatch consoles across loadbearer.in.

2. AIS-140 GPS & Vehicle Telematics Data

As part of our commitment to cargo integrity and statutory compliance under the Automotive Industry Standard 140 (AIS-140) established by the Ministry of Road Transport and Highways (MoRTH), our heavy transport fleet continuously transmits vehicular telemetry:

• Positional Coordinates: Real-time latitude, longitude, elevation, and heading collected at intervals between 10 and 60 seconds depending on highway transit dynamics.
• Vehicular Telemetry: Vehicle speed, engine RPM, ignition state, harsh braking, rapid acceleration, idling timestamps, and fuel float levels.
• Geofencing Triggers: Automated entry and exit timestamps across national highways (NH-44, NH-65, NH-16), intermediate toll plazas (FASTag integration), and consignee unloading bays.
• Emergency Alerts: Instant transmission of SOS panic button signals or tamper sensor activations to our 24/7 central dispatch monitoring room in Suraram, Hyderabad.

3. Commercial Consignment Information

To generate legally valid Consignment Notes (Lorry Receipts / LR), transport permits, and GST e-Waybills under the Carriage by Road Act 2007, we collect:

• Shipper & Consignee Identities: Registered company name, corporate GSTIN, pick-up yard address, and unloading contact marshals.
• Cargo Invoicing Details: Declared material description (e.g., TMT rebars, hot-rolled steel coils, heavy fabrication girders), consignment invoice numbers, declared value for transit insurance, and certified weighbridge tare/gross receipts.
• Driver & Vehicle Licensing: Commercial Heavy Goods Vehicle (HGV) driving license numbers, VAHAN registration certificates, National Permits, and pollution fitness records.

4. Digital Cookies & Session Tokens

The LOAD BEARER website uses essential, lightweight browser storage mechanisms to ensure operational performance:

• Essential Functional Cookies: Session tokens necessary to maintain live shipment tracking authentication, freight route calculations, and vehicle specification comparisons.
• Performance Telemetry: Anonymous browser telemetry to measure loading speeds and prevent Denial of Service (DDoS) attempts against our dispatch API endpoints.

5. Enterprise Security & Encryption Standards

LOAD BEARER treats supply chain data with defense-grade physical and digital hygiene:

• Encryption at Rest: Waybill repositories, historical GPS coordinate archives, and weighbridge slips are stored in secure relational databases with AES-256 encryption.
• Role-Based Access Control (RBAC): Dispatch marshals and fleet managers access only the consignment data corresponding to active routes under their direct operational supervision.

6. Regulatory & Highway Disclosures

We disclose consignment and telematics records only in the following legitimate operational and legal scenarios:

• Statutory Tax Authorities: GST e-Waybill system synchronization and verification checkpoints under Central Goods and Services Tax (CGST) regulations.
• Highway Authorities: National Highways Authority of India (NHAI) and state transport check-posts verifying Over-Dimensional Cargo (ODC) axle weight clearances.
• Law Enforcement & Emergency Responders: Direct police or emergency response access in the event of highway collisions, theft prevention, or national emergency protocols.

7. Data Retention & Archival Schedules

In compliance with Indian commercial transport regulations and tax statutes:

• Active Live Telematics: High-frequency GPS ping coordinates are retained in live memory for 90 days following consignment delivery.
• Consignment Notes & e-PODs: Stamped Proof of Delivery (POD) documents, weighbridge certs, and LRs are archived for seven (7) financial years to satisfy GST and audit mandates.
• Inquiry Quotes: General rate estimates and customer inquiry submissions without a confirmed booking are purged after 180 days.

8. Shipper & User Rights (DPDP Act 2023)

Under the Digital Personal Data Protection Act, 2023, consignor representatives and authorized corporate contacts retain the right to:

• Request a summary of personal information and commercial consignments associated with your corporate profile.
• Rectify inaccuracies in contact details, billing credentials, or consignee addresses.
• Withdraw consent for marketing communications or discretionary newsletters. (Statutory transit communications regarding active consignments cannot be opted out of).
